Privacy Policy
How valenorixum protects and manages your personal information
Last Updated: 15 March 2025. This policy reflects our current approach to data protection in line with UK GDPR and Data Protection Act 2018 requirements.
Introduction
We take privacy seriously. Not because regulations force us to, but because we believe you deserve to know exactly what happens with your information when you use our budgeting tools and educational resources.
This document explains what we collect, why we need it, and what choices you have. We've tried to avoid the usual legal jargon where possible. If something isn't clear, please reach out to us directly.
Information We Collect
When you interact with valenorixum, we gather different types of information depending on how you use our platform. Here's what that actually looks like:
Account Information
When you create an account to access our webinars or study materials, we ask for basic details that help us provide the service properly:
- Your name and email address
- Location information (country and city) to tailor content recommendations
- Password (which we encrypt and never store in plain text)
- Optional profile details like your budgeting experience level
Usage Data
Like most websites, we track how people use our platform. This helps us understand what's working and what needs improvement. We collect things like which pages you visit, how long you spend on webinar content, and which budgeting templates you download.
Communication Records
If you contact us through email or our contact form, we keep records of those conversations. This helps us provide better support and remember context if you reach out again.
Payment Information
For premium content or paid webinars, payment details go directly to our payment processor. We never see or store your full card numbers. We only receive confirmation that payment was successful, along with basic transaction details for our records.
How We Use Your Information
Everything we collect serves specific purposes. We don't gather data just for the sake of it.
Purpose | Data Used | Legal Basis |
---|---|---|
Providing access to webinars and materials | Account information, usage data | Contract performance |
Sending educational updates and resources | Email address, preferences | Legitimate interest (with opt-out) |
Improving our content and platform | Usage patterns, feedback | Legitimate interest |
Responding to support requests | Contact details, communication history | Contract performance |
Processing payments | Transaction records | Contract performance |
We sometimes send emails about new budgeting resources or upcoming webinars. These aren't random marketing blasts. We try to make them genuinely useful based on what you've shown interest in. You can unsubscribe anytime through the link in any email.
Data Sharing and Third Parties
We don't sell your information. That's not our business model, and frankly, we think it's a bit dodgy. But we do work with some third-party services that help us run the platform:
- Cloud hosting providers that store our website data securely
- Email service providers that help us send newsletters and course updates
- Payment processors for handling transactions
- Analytics tools that show us how people use the site (with IP addresses anonymized)
All these partners are carefully selected and bound by their own privacy obligations. They only access what they need to provide their specific service.
Government and Legal Requests: We'll only share your information with authorities if legally required to do so, such as in response to a court order or to comply with UK regulations. This hasn't happened yet, but we'd notify you if it ever does, unless legally prohibited.
Your Rights Under UK GDPR
UK data protection law gives you substantial control over your personal information. Here's what you can do:
Access Your Data
You can request a complete copy of everything we hold about you. We'll provide this in a readable format within 30 days. Just email us at info@valenorixum.com with "Data Access Request" in the subject line.
Correction and Updates
If any information we have is wrong or outdated, let us know and we'll fix it promptly. You can update most account details yourself through your profile settings.
Deletion (Right to Be Forgotten)
Want to remove your account and associated data? We'll delete everything within 30 days of your request. Some information might need to be retained for legal or accounting purposes, but we'll explain exactly what and why if that applies.
Data Portability
You can receive your data in a machine-readable format to transfer to another service. We'll provide this as a JSON or CSV file, whichever works better for you.
Object to Processing
If you don't want us using your data for specific purposes (like marketing emails), you can object at any time. We'll stop immediately, except where we have compelling legal grounds to continue.
Lodge a Complaint
If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO). Their website is ico.org.uk. We'd appreciate the chance to resolve issues directly first, though.
Data Security
We take reasonable steps to protect your information from unauthorized access or disclosure. This includes:
- Encrypted connections (HTTPS) across the entire site
- Secure password hashing using industry-standard algorithms
- Regular security audits and updates
- Limited employee access to personal data on a need-to-know basis
- Secure backup procedures with encrypted storage
No system is completely foolproof, but we stay current with best practices and respond quickly to any potential vulnerabilities. If we ever experience a data breach that affects your information, we'll notify you within 72 hours as required by UK law.
Data Retention
We don't keep information longer than necessary. Here's our general approach:
- Active account data: retained while your account exists
- Deleted account data: removed within 30 days, except where legal obligations require retention
- Email marketing lists: you're removed immediately when you unsubscribe
- Payment records: kept for 7 years to comply with UK tax and accounting requirements
- Support correspondence: deleted 3 years after the last interaction
- Analytics data: anonymized and aggregated after 26 months
If you've been inactive for over 3 years, we'll send a reminder email asking if you want to keep your account. No response means we'll delete it after another 90 days.
Cookies and Tracking
We use cookies to make the site function properly and understand how it's being used. When you first visit, you'll see a banner where you can choose which types of cookies to accept.
Essential Cookies
These keep you logged in and remember your preferences. The site won't work properly without them, so they're enabled by default.
Analytics Cookies
These help us see which content is popular and where people get confused. We use this to improve the platform. Your IP address is anonymized before any data reaches us.
Preference Cookies
These remember settings like your preferred language or display options. Makes your experience smoother on return visits.
You can change your cookie preferences anytime through your browser settings or the cookie banner that appears when you revisit after clearing cookies.
Children's Privacy
Our services are designed for adults managing their finances. We don't knowingly collect information from anyone under 16. If you're a parent and believe your child has provided us with personal information, please contact us immediately and we'll delete it.
Changes to This Policy
We update this policy occasionally to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify you by email and display a notice on the website for at least 30 days.
The "Last Updated" date at the top shows when the current version came into effect. We keep previous versions archived, so you can request to see older policies if you're curious what changed.
